Office Assistant (m/w/d)

We're searching for a full-time Office Assistant to join our friendly team in the Munich office. This position will work as a part of the finance and administration team to accomplish tasks and projects that are instrumental to the company's success. If you are interested in security and innovations, you would love to be surrounded by people that try to make our world safer together. This is a 4 to 5 days a week office-based position in our Ismaning office; hence the selected individual must reside near and speak intermediate (B1) German for the role.

Who is your future team?

You will join our Ismaning office team, consisting of 35 colleagues from different departments who reply daily to your support. You will be their first point of contact in all office-related matters.

What you'll do here as an Office Assistant?

Primarily, you are responsible for the support of the Finance Manager/Administration Team in the efficient running of the office with regards to administrative and office functions. The bonus part is active cooperation with the sales and marketing support activities. 

Acting as the "backbone" of the team, the office assistant is making sure that all office functions are running as smoothly as possible and that customers, suppliers and colleagues visiting or calling in are taken care of in a professional manner.

Furthermore, the office assistant supports the accountant team in billing activities and posting and paying invoices. 


Who are we looking for :

An enthusiastic team member who is ready to start their journey with us and be responsible for :

  • Day-to-day support of the office, including answering general phone inquiries and ensuring office supplies and facility management.
  • Support activities in the Axis Experience Center, including catering for customers (AEC Management) and supporting the Axis Academy training event.
  • Various incoming and outgoing logistical arrangements.
  • Financial administration, including basic bookkeeping, billing activities, incoming invoices of suppliers, and travel expenses.
  • Taking care of internal orders of Demo Units and the respective database management.
  • Support the Administration Team when onboarding new colleagues and organizing office equipment.

We'd love to hear that you have/are:

  • Preferably more than 2 years of experience working in a similar role as a coordinator or assistant to a team in a fast-paced environment.
  • Service-minded, reliable and well organized.
  • Familiarity with finance/bookkeeping experience.
  • High level of integrity and professionalism. 
  • Coming with experience from the hospitality industry
